Client onboarding checklist, template and questionnaire. Free. Plus an AI worker that runs it.
Onboarding a new client takes 2 to 6 hours by hand. The kickoff call, the questions, the follow-up email, the CRM record. Below is the full checklist, the call template and the questionnaire we use. Take them, they are free. At the end, hear an AI worker run the whole thing on a live call.
Client onboarding checklist

- Send a welcome email within one hour of signing.
- Confirm the main contact and their role.

On the kickoff call

- Set the next check-in date.
First week
- Send the call summary within 24 hours.
- Grant access to tools and folders.
- Deliver the first item.
- Log every step in the CRM.
- Ask one question: is anything unclear so far?
Client onboarding template
This is the 30-minute kickoff call, minute by minute.
| Time | What happens |
|---|---|
| 0 to 3 min | Welcome. Confirm names, roles, and how long you have. |
| 3 to 8 min | The client says in their own words what they want in 90 days. |
| 8 to 18 min | Walk the questionnaire. Fill gaps, confirm details. |
| 18 to 24 min | Agree the first deliverable, the date, and who owns it. |
| 24 to 28 min | Agree tools, access, and how you will communicate. |
| 28 to 30 min | Repeat the next steps back. Set the next check-in. |
Client onboarding questionnaire
Twelve questions. Send them before the call or ask them on it.
- What does success look like 90 days from now?
- What made you decide to start now?
- Who is the main contact, and who else needs to be in the loop?
- Who makes the final call on decisions?
- What have you tried before, and what happened?
- What is the one thing that must not go wrong?
- Which tools do you use every day?
- How do you like to communicate: email, Slack, phone?
- How often do you want an update?
- Are there dates or deadlines we must work around?
- What do you need from us in the first week?
- Is there anything we have not asked that we should know?
The client onboarding process in six steps
- Welcome. A message within the hour. The client knows they were heard.
- Questionnaire. Sent before the call so the call is about answers, not questions.
- Kickoff call. Thirty minutes, the template above.
- Summary. Sent the same day. What was agreed, who owns what, by when.
- Record. Every answer and every next step written into the CRM.
- Check-in. Booked before the call ends, so nobody has to chase it.
Client onboarding software: what it should do
Most client onboarding software is a form builder with a checklist on top. It helps you remember the steps. It does not do them. If you still make the call, write the summary and update the CRM by hand, the software saved you a form, not the hours.
What to look for: it runs the kickoff call, not just schedules it. It writes the summary itself. It updates HubSpot or Go High Level while the call is still going. It books the check-in before hanging up. It does this the same way for client one and client one hundred.
How an AI worker runs client onboarding
A DelegateWorker AI worker calls the new client, walks the questionnaire, agrees the first deliverable, books the check-in, and writes it all into HubSpot or Go High Level. It joins on Zoom, by phone or on the web. You review the summary. You do not sit on the call.
We use it ourselves. Every DelegateWorker customer is onboarded by the worker they just bought. Their first call with the product is the product doing its job.
Hear it. Call the worker now.
The worker is named Jordan. A call with Jordan is the live demo. No form, no wait. Ask it to onboard you and hang up when you have heard enough.

- How long should client onboarding take?
- The kickoff call takes 30 minutes. The whole first week takes 2 to 6 hours by hand. An AI worker does the call, the summary and the CRM record in the 30 minutes.
- What should a client onboarding checklist include?
- Three parts: what happens before the first call, on the call, and in the first week. The checklist above is the full list.
- What questions should I ask a new client?
- Goals for 90 days, who decides, what they tried before, which tools they use, how they want to communicate, and what must not go wrong. The twelve questions above cover it.
- Can an AI worker really run the onboarding call?
- Yes. It asks the questions, listens, agrees next steps, books the check-in, and writes the record. Call the number above and it will onboard you.
- Does it work with my CRM?
- HubSpot and Go High Level are connected out of the box. The worker writes to the record during the call.
- What does it cost?
- Plans start at $99 a month for a worker that runs a real process. See the pricing page for the full list.
